You can group your tasks by time (10-minute tasks, deep work), location (home, office, and errands), resources (phone, computer), people (boss, mom, and clients), etc. One of my toughest categories is the “free time and do it now” label, which I borrowed from Jeff Sanders, author of The Free Time Formula. Whenever I have a little free time, I simply look through my list and grab what I need.

The most powerful feature I’ve ever experienced is Nozbe’s quick add menu: you’re working on an email and an idea just pops into your head. You just press the keyboard shortcut, enter the task in the pop-up, and continue working. But that’s not all: right there you can assign a due date, project, and category to your task.

5. Cross-platform

Cloud systems give you enormous administrative power. Just imagine that you are driving to work and your mind starts racing: enter your thoughts into a mobile app and clear your head. Your task will be waiting for you in the office when you turn on your computer.

6. Synchronization

There is a way to link the task manager with your favorite calendar app, with Evernote and with a cloud service (OneDrive, Dropbox, Google Drive, iCloud). This is where the synergy happens: you set a deadline for your task right in the task manager and it is displayed in your calendar.
